Information we collect when you place an order on our webshop

Order Placement

As part of our order process, we collect the following mandatory information: name, billing address, shipping address (if applicable), contact numer, email address, account password (applicable when creating an account). If this information is not provided, we will not be able to purchase goods from our webshop, or enter into a contract with us.

Legal basis - necessary to perform a contract - in accordance with Article 6 (1)(b) General Data Protection Regulation. Except phone number and password, the mandatory information provided at checkout, establishes who are contract is with and allows us to contact you to fulfil the contract, which will include providing you with production and dispatch updates.

       - legal obligation - in accordance with Article 6 (1)(c) General Data Protection Regulation. Exept phone number and password, where you are VAT registered we are required by law to provide you with an invoice for goods purchased.

       - our legitimate interest - in accordance with Article 6 (1)(f) General Data Protection Regulation. In order to administer accounts on our website and allow you access to updates on items you have purchased, we collect your password. We collect your phone number, to enable us to contact you more effectively and efficiently with regards to your order / enquiry.

Marketing Communications

During our checkout process, you will have the option of receiving marketing communications relating to our goods and offers by email by ticking the appropriate box, in accordance with consent - Article 6(1)(a) General Data Protection Regulation.

Payment Processing

Upon completion of the checkout process, payment will be required for the goods you have ordered. Payments are processed by a third party processor, Worldpay. You can access their privacy policy here

Legal basis - to perform a contract - in accordance with Article 6(1)(b) General Data Protection Regulation. This enables you to fulfil your contractual obligation to pay for the goods that you have ordered.


Information we collect or obtain about you from third parties 

Information received from third parties

Most generally, we do not receive any information about you from third parties; however, in such circumstances these will typically be other businesses or clients that purchase goods from us on your behalf (trade or re-sellers). In these instances, the information we receive will typically be your name and contact information, but may also invlude additional information which allows us to enter into a contract for provision of goods.

                     - Consent - in accordance with Article 6 (1)(a) General Data Protection Regulation. In instances where you have asked a third party to share your information, when the purpose is not related to the contract performance by us to you, we will process your information on the basis of your consent.

                     - Our legitimate interest - in accordance with Article 6(1)(f) General Data Protection Regulation. In circumstances where your information is required to fulfil a sub-contractual obligation with a third party, it is our legitimate interest to process information shared by a third party, even though you may not have consented specifically. Also, there may be circumstances when a third party provides us with information about you, in regards to an infringement or potential infringement by you, of any of our legal rights. In this case, we would have a legitimate interest in processing your information to investigate and pursue any infringements.

Information obtained by us from third parties

There may be certain circumstances when we will obtain information about you from certain publicly accessible sources, both EU and non-EU (for example, in order to verify information we hold about you, or to obtain missing information that will allow us to provide you with a service/goods, such as contact details). Such public sources may include Companies House, business/contact directories, online databases, media publications, social media (such as Facebook and Twtitter), and websites (including your own, if you have one).

In order for Pro-Tec Covers to run our business, we utilise the services of several third party organisations, they may be required to process your information on our behalf. These include:

  • Email provider (US based)
  • IT Service provider (UK based)
  • Web developer (UK based)
  • Hosting provider (US based)

 Disclosure for legal reasons

  • On occasion that there is a suspicion of criminal or potential criminal undertakings have/will occur, we may need to contact appropriate authorities, such as the Police and provide your information should you be involved or affected by these actions. Such occasions may be fraud, cyber crime or threats/malicious communication at either us or a third party.

Google Inc.

Our website and webshop use Google Analytics to assist us in improving our services to you, as part of this Google collects information, such as IP addresses and information from cookies. Any information shared with Google is anonymous and aggregated, however, to find out more about what, the uses and control of this information are, please refer to their partners page of the Google privacy policy. You can opt out of Google Analytics at any time by installing the browser plugin here.

Legal basis - our legitimate interests - in accordance with Article 6(1)(f) General Data Protection Regulation. In sharing your information, we are able to adhere to our contractual obligations with Google, as well as being able to use Analytics on our website and webshop.

Business/Asset sale or acquisition

In the event of a proposed or actual sale of Pro-Tec Covers in its entirity or of its assets, as well as an acquisition/merger or similar by Pro-Tec Covers, we may be required to share your information with buyers or sellers.

Third parties associated to the running of Pro-Tec Covers

Pro-Tec Covers have a number of associations with third party organisations in order to run our business successfully, where necessary to do so, we may share your information with them. Such associations include:

Accountants - information shared in this instance is for tax purposes, such as invoices issued and received by us in order to complete tax returns and year end accounts. Our accountants are based in the UK

Advisors - there may be occasion that we need to seek advice from third parties and to allow them to provide this advice we may need to share your information. Such advisors may be lawyers, specialists or financial advisors. All advisors are based in the UK.

Insurers - in cases of a claim or potential claim received or made by us, we may be required to share your information with our insurance company under our contractual obligations. Our insurers are based in the UK.

Length of time your information is retained

Where feasible, we have specific periods of time your information is retained, however, in circumstances where this is not possible, we follow criteria to determine how long such information is retained. Details of both are:

Specific retention periods

Mailing List: Upon opting in to receive our newsletter, we will retain your information for the whole period that you are a subscriber, or until such a time that we no longer provide a newsletter service, whichever occurs first.

Enquiries: Any enquiry received in writing, either via letter, email or by completing our online contact form will be retained for a period of 6 months following receipt, after which time the information will be deleted.

Orders: Upon placing an order for goods from us, your information will be retained for a minimum of 6 years following the end of the tax year in which the order was placed, this is under our legal obligation in relation to tax records (paragraph 6, Schedule 11 of the Vale Added Tax Act 1994). As your information may be of significance for future use, i.e. if you were to re-order the same product and had specific requirements we may need to retain your order information for longer (see below).

Retention period criteria

In circumstances where a specific retention period cannot be set, we will take into account the following:

  • the purpose(s) and use of your information both currently and in the future (i.e. may be necessary to retain the information to continue to fulfil our contract with you)

We are committed to ensuring that your information is secure. In order to prevent unauthorised or illegal access or disclosure, as well as accidental loss or destruction, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect and store.
